How to Apply

The programme is designed for archivists or those engaging in records management related functions who wish to update their professional knowledge and skills, widen their international exposure and obtain an academic qualification for their profession. All lectures and seminars are conducted by academics and archives specialists that are prominent experts in the subjects they teach.

The programme is jointly organized by the International Council on Archives - East Asian Regional Branch (EASTICA) and HKU SPACE.

The programme aims to guide students to plan, establish and manage archives in their organization to meet business, legal, fiscal, public relations and cultural needs. 

All lectures and seminars are conducted by academics and archives specialists from the world over.  All instructors are prominent experts in the subjects they teach.

Chief Lecturer

The Chief Lecturer of this course is Simon F.K CHU, Adjunct Associate Professor of both the Chinese University of Hong Kong and Hong Kong University School of Professional and Continuing Education. Professor CHU was educated in Hong Kong, Canada and UK where he obtained his degrees in History, Information Science and Law. Professor CHU is former Director of the Hong Kong Government Records Services where he had helped building the infrastructure for a service-wide records and archives management system. Professor CHU has also held executive and advisory positions in a number of local, national and international organizations and committees responsible for archival and heritage programs.  


Honorary Lecturers

Dr. Trudy Peterson is a consulting archivist since 2002.  She spent 24 years with the United States national Archives and as Acting Archivist between 1993 and 1995.  After retiring from the U.S. government, she was the founding Executive Director of the Open Society archives in Budapest, Hungary (1995-98), and the Director of Archives and Records management for the United Nations High Commissioner for Refugees(1999-2002).  Dr. Peterson has lectured on archives throughout the world, including Korea and Hong Kong.

Dr. Sangmin Lee is an archivist and an archives educator working in records archives management consultation business for private and public sectors.  He received a Ph.D degree from Northern Illinois University in the filed of history in 1991.   He led the Records Management Innovation Committee in the Presidential Committee of Government Innovation as a supporting team leader during the critical period of the government records and archives reforms in Korea from 2004 to 2005. Dr. Lee is now working as a Management Council Member of the Research Institute for Korean Archives and Records and as a representative of RIM Research & Service Co..  He is a Chairman of Presidential Records Appraisal Advisory Committee of the National Archives of Korea, a Chairman of Research Committee of the Korean Society of Archives Studies, and a Chairman of International Cooperation of the Korean Association of Archives Management.  Dr. Lee has also worked for the international records and archives organizations, such as, EASTICA and CITRA (ICA) as a key bureau member, and for the ISO TC46/SC11 as a head of national delegation.

Mr. Peter Horsman, University of Amsterdamhas over 20 years experience in archives.  He has been involved in almost all of the major projects in this field at the National Archives. From 1991 to 1997 he was director of the National Archives Information Policies Department.  Upon completing education in information science he studied knowledge engineering at the Centre of Excellence CIBIT, Utrecht, and the Middlesex University, London. He wrote his masters thesis on the application of knowledge technology and knowledge management in archival appraisal.  Peter teaches archival science at the Netherlands Archives School, both at the polytechnic and at university level.  The latter work is a European Community sponsored project in which the University of Amsterdam cooperates with the universities of Tampere (Finland), Potsdamm (Germany), and Newcastle (United Kingdom).  He has presented various papers on archival science and archival informatics, both in the Netherlands and abroad.  As of 1988 he has been a member of the successive International Council on Archives automation committees; in the committee he is in particular involved in the development of a data model, supporting the ISAD and ISAAR standards.

Mr. Pitt Kuan Wahis the former Director of National Archives of Singapore; Member of International Council on Archives Committee on Electronic Records (1992-1996); Chairman of SARBICA and member  ICA Executive Board (2008-2010); Member of ICA Congress 2012 Programme Committee (2010-2012).  Mr. Pitt is also part-time lecturer teaching postgraduate elective module on Archives & Records Management with Nanyang Technological University (2002-2010).



This is a three-week intensive programme comprising not less than 100 hours of lecturing, seminar and visit. The programme introduces to students:

  • Fundamentals of Archives
  • Records in Office System: Management of Records throughout their life cycle
  • Appraisal and Acquisition
  • Arrangement and Description
  • Management of Electronic Records
  • Archives Automation

Certificate will be awarded to candidates who have completed the following requirements:

  1. achieve at least 80% attendance; and
  2. achieve a pass in class exercises and assignments; and
  3. achieve a pass in a written report to be submitted within ONE month after the end of lectures.

On request, overseas student will be assisted in making accommodation arrangements during their stay in Hong Kong. Room rate is approximately HK$1,200 per day (single/doucle occupancy), subject to 10% service charge. Please note that room rates depend on individual hotel/guest house.

Payment Method
1. Cash, EPS, WeChat Pay Or Alipay

Course fees can be paid by cash, EPS, WeChat Pay or Alipay at any HKU SPACE Enrolment Centres.

2. Cheque Or Bank draft

Course fees can also be paid by crossed cheque or bank draft made payable to “HKU SPACE”. Please specify the programme title(s) for application and the applicant’s name.. You may either:

  • bring the completed form(s), together with the appropriate course or application fees in the form of a cheque, and any required supporting documents to any of the HKU SPACE enrolment centres;
  • or mail the above documents to any of the HKU SPACE Enrolment Centres, specifying  “Course Application” on the envelope.  HKU SPACE will not be responsible for any loss of payment sent by mail.
3. VISA/Mastercard

Applicants may also pay the course fee by VISA or Mastercard, including the “HKU SPACE Mastercard”, at any HKU SPACE enrolment centres. Holders of the HKU SPACE Mastercard can enjoy a 10-month interest-free instalment period for courses with a tuition fee worth a minimum of HK$2,000; however, the course applicant must also be the cardholder himself/herself. For enquiries, please contact our staff at any enrolment centres.

4. Online Payment

Online application / enrolment is offered for most open admission courses (course enrolled on first come, first served basis) and selected award-bearing programmes. Application fees and course fees of these programmes/courses can be settled by using "PPS by Internet" (not available via mobile phones), VISA or Mastercard. In addition to the aforesaid online payment channels, continuing students of award-bearing programmes, if their programmes offer online service, may also pay their course fees by Online WeChat Pay, Online Alipay and Faster Payment System (FPS). Please refer to Enrolment Methods - Online Enrolment  for details.


  • If the programme/course is starting within five working days, application by post is not recommended to avoid any delays. Applicants are advised to enrol in person at HKU SPACE Enrolement Centres and avoid making cheque payment under this circustance.
  • Fees paid are not refundable except under very exceptional circumstances (e.g. course cancellation due to insufficient enrolment), subject to the School’s discretion. In exceptional cases where a refund is approved, fees paid by cash, EPS, WeChat Pay, Alipay, cheque or PPS (for online payment only) will normally be reimbursed by a cheque, and fees paid by credit card will normally be reimbursed to the payment cardholder's credit card account.
  • In addition to the published fees, there may be additional costs associated with individual programmes. Please refer to the relevant course brochures or direct any enquiries to the relevant programme team for details.
  • Fees and places on courses cannot be transferrable from one applicant to another. Once accepted onto a course, the student may not change to another course without approval from HKU SPACE. A processing fee of HK$120 will be levied on each approved transfer.
  • Receipts will be issued for fees paid but HKU SPACE will not be repsonsible for any loss of receipt sent by mail.
  • For payment certification, please submit a completed form, a sufficiently stamped and self-addressed envelope, and a crossed cheque for HK$30 per copy made payable to "HKU SPACE" to any of our enrolment centres.
